These terms form the agreement between you and The Guest Take when you use our service.

1. About us
The Guest Take is a wedding media service operated in the United Kingdom. You can contact us at contact@theguesttake.com.
2. Your account
You must be at least 18 to purchase a package. You are responsible for keeping your login credentials secure and for all activity on your account.
3. What you're buying
Each package is a one-off service comprising a guest upload page, media archive, and — where applicable — an edited highlight film and social edits. The precise deliverables and turnaround are those shown on the package page at the time of purchase.
4. Payment
Prices are shown in GBP and include VAT where applicable. Payment is taken upfront through a secure payment processor. Your booking is confirmed once payment clears.
5. Cancellation, postponement and refunds
We want this to be fair for both sides. The following rules apply to the package price and to any add-ons purchased at the same time.
5.1 Cooling-off period
- You may cancel within 7 days of purchase for a full refund, provided setup or editing work has not yet started.
- If you have expressly asked us to begin setup work inside the cooling-off period (for example, activating your guest upload page or QR pack), the refund is reduced by the value of the work already carried out.
5.2 If your wedding is cancelled
- Cancelled more than 60 days before the wedding date: full refund less a £49 admin fee and the cost of any add-ons already delivered (for example, the Bespoke QR Stationery Pack).
- Cancelled 30-60 days before the wedding date: 50% refund of the package price. Delivered add-ons are non-refundable.
- Cancelled less than 30 days before the wedding date: no refund, as your slot in our upload and editing schedule is reserved and cannot be resold at short notice.
5.3 If your wedding is postponed
- You may transfer your booking to a new date free of charge, once, provided the new date is within 18 months of the original date and we have capacity.
- Further date transfers, or transfers outside the 18-month window, incur a £75 rescheduling fee to cover admin and re-planning.
- If we do not have capacity on your new date, we will offer the next available date or, at your choice, a refund calculated under section 5.2 as of the postponement date.
5.4 Transferring your booking to someone else
- Bookings may be transferred to another couple with our written consent, which we will not unreasonably withhold. The new couple must accept these terms in their own name before the transfer takes effect.
5.5 Add-ons
- Add-ons may be cancelled for a full refund up until work on that specific add-on begins.
- Once work on an add-on has started (for example, designs drafted for the Bespoke QR Stationery Pack or the 48-Hour Teaser Edit queued), that add-on is non-refundable.
- Priority Delivery is non-refundable once your edit has entered the priority queue.
5.6 Once editing has begun
- After we begin editing your footage, the package price is refundable only on a pro-rata basis for work not yet delivered.
- On the wedding day and afterwards, the service is treated as fully performed and refunds are not available except where we are at fault.
5.7 If we cannot fulfil your order
- If we are unable to deliver your package for any reason within our control, we will let you know as soon as possible and refund every penny you have paid us, including add-ons, whether or not work has started.
- Where reasonably possible, we will also offer to introduce you to a trusted partner supplier so your wedding coverage is not disrupted.
- We are not liable for failures caused by events outside our reasonable control (for example, widespread internet outages, natural disasters, or government restrictions), but we will still refund any work we have not delivered.
5.8 How to cancel
To cancel or postpone, email contact@theguesttake.comfrom the address on your booking. Refunds are made to the original payment method within 14 days of us confirming your cancellation.
6. Guest uploads and content sufficiency
Your final edit is created from the usable content submitted by your guests. Because we don't control what your guests film, we can't guarantee a specific number of clips, camera orientation, lighting or audio quality. If the available footage is not sufficient for the full advertised film length or style, we will contact you before editing and recommend the best available format, which may include a shorter or more photo-led edit.
In practice, the following situations are handled as follows. In every case we will discuss the options with you before we start editing.
- Very few guests upload (for example, fewer than ten):we'll produce the best edit we can from what's available, typically a shorter highlight or a photo-led montage, and confirm the revised length with you before we start.
- No meaningful video is uploaded: we'll offer a photo-led edit set to music, or a partial refund of the video-editing element of your package (retaining the cost of the guest upload platform, archive and admin).
- Everything is filmed vertically or in poor light:we'll edit natively in the format supplied (typically a vertical social-first edit) rather than forcing content into a widescreen film. Colour and exposure are corrected within reason, but heavily underexposed or unusable clips will be dropped.
- Audio is unusable: we'll replace guest audio with licensed music and, where appropriate, keep only short bursts of usable dialogue or ambient sound.
- Uploads are mainly duplicate selfies: we'll de-duplicate and select the strongest frames; the resulting edit may be shorter than the advertised length.
- Not enough usable footage for the advertised length:we'll deliver the longest edit the material genuinely supports and tell you up-front what length that will be. No refund is due where a shorter edit has been agreed with you in writing (including email) as the best available format.
Refunds under this section are handled under section 5. We will never pad an edit with unrelated stock footage or AI-generated content without your explicit consent.
7. Your responsibilities
- Provide accurate wedding details in a timely manner.
- Share the guest upload link only with invited guests.
- Actively encourage guests to upload horizontal video with good lighting and sound where possible - the more usable footage we receive, the closer the final edit will be to the advertised format.
- Make guests aware of our Acceptable Upload Policy and Privacy Policy.
- Respond to editor questions in reasonable time so we can meet delivery deadlines.
8. Ownership and licence
You own your wedding media. Guests grant you a personal licence to use their uploads as part of your wedding archive. You grant us a limited licence to store, process and edit the media strictly to deliver the service. See our Content & Copyright Policy.
9. Delivery windows
Deliverables are made available for download for the window shown on your dashboard (typically 90 days). Please download and back up your media before the window closes; we may delete media after the window ends.
10. Prohibited use
You must not use the service to store or distribute content that is unlawful, infringing, defamatory, harassing, or sexually explicit involving anyone under 18. Full details are in our Acceptable Upload Policy.
11. Our liability
We take reasonable care to deliver a high-quality service, but the service is provided "as is". Our total liability for any claim is limited to the amount you paid for the affected package. Nothing in these terms limits liability that cannot be limited by law (including death or personal injury caused by negligence, or fraud).
12. Suspension and termination
We may suspend or terminate access if you materially breach these terms, with notice where practicable. On termination, we will provide reasonable assistance to help you retrieve your media.
13. Changes
We may update these terms from time to time. Continued use after the "last updated" date constitutes acceptance of the revised terms.
14. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
